Part-Time Administrative Assistant Application

 

Position Available:  Administrative Assistant

Location: Lexington, Kentucky

Position Type: Part-time, 20-30 hours/week

Reports to: Executive Director

 

Summary:

Kentucky Humanities, an independent, nonprofit organization affiliated with the National Endowment for the Humanities and dedicated to Telling Kentucky’s Story, is seeking applicants with administrative and database management experience, with general interest in Kentucky history and culture. Applicant must be comfortable with technology, a strong communicator, and willing to learn new skills.

 

Key Responsibilities:

  • Administrative Support
    • Answer and direct phone calls, emails, and mail
    • Maintain filing systems
    • Manage office maintenance requests and supplies
    • Prepare and distribute materials
  • Data Management
    • Maintain, update, and add donor, contact, and event information
    • Generate reports for other staff
    • Other data entry and reporting as needed
  • Financial Administration
    • Process incoming monies and generate donation receipts according to best practices
    • Initiate payment paperwork for program personnel
    • Manage invoice collection and contractual compliance
    • Ensure incoming monies are properly recorded and reconciled
  • Communications
    • Assist in the creation and distribution of mass mailings and promotional/informational materials as needed
    • Write short radio scripts for our radio partners
  • Special Event Assistance
    • Facilitate meetings by making arrangements and handling associated clerical needs
    • Work with Executive Director to plan and execute Humanities on the Hill advocacy visits
    • Act as an assistant or liaison for Kentucky Humanities events throughout the year (primarily during office hours, travel may be required)

Additional requirements: some in-state travel for meetings and events, primarily during office hours, but occasional evening hours or overnight stays may be required

 

Qualifications:

  • Bachelor’s degree or higher
  • Prior administrative or assistant experience
  • Excellent communication skills
  • Proficient in MS Office and data entry
  • Willingness to learn new skills

Preferred Skills

  • Familiarity with basic accounting principles
  • Experience with nonprofit organizations

Compensation commensurate with experience
